AI Policy

From time to time, we may use AI tools to support us in delivering thoughtful, efficient service. This includes things like:

  • Summarising meeting transcripts

  • Dictation

  • Checking for plain english optimisation

  • Asking for general perspectives on audience behaviours

  • Looking for alternative perspectives or feedback on key messaging 

  • Exploring trends in communications

  • Identifying new and emerging opportunities in marketing and communications

  • Streamlining administrative or junior level tasks

  • Background research

The main tools that we use are Wisper Flow, Canva Magic Media, ChatGPT and Gemini.

To help us to be as efficient as possible, we use Gemini - Google’s AI assistant (like Microsoft Copilot) to transcribe meeting notes and create a summary of key points and actions. These are then checked and circulated with meeting attendees. If a client does not wish for us to have Gemini active during our meeting, we will take manual notes.

We do not use AI tools for content creation on behalf of our clients unless explicitly discussed. All creative and strategic outputs are developed by our team.

When we do use AI tools, we follow these principles:

  • We won’t enter confidential, sensitive or personal information into any publicly available generative AI tool.

  • We will always check the outputs to ensure an appropriate tone is used and that the output meets the objective before using them.

  • We will be transparent about our use of AI — with each other, and with clients and stakeholders.

  • We will always communicate in our own voice, not the voice of a tool.

  • We will always disable learning features to protect privacy.

  • We will always ask for client permission before using AI tools in any capacity related to their project.

These tools help us stay at the forefront of our industry, while ensuring we’re using our time and resources wisely.

Exceptions
If a situation falls outside of this policy, we’ll always discuss it with clients first to make sure you’re comfortable with the approach.
